Aim
The goal of including patient partners on hiring panels for leadership positions is to provide patients and family members with the opportunity to have a voice in the services and policies that affect their lives. During the hiring process, Patient Partners can help to ensure that patients and their families are a key priority for new employees on the Island Health leadership team.

Level of Engagement
This opportunity is at the level of collaborate on the spectrum of engagement. The promise to you is that the health care partner will work together with you to formulate solutions and incorporate your advice and recommendations into the decisions to the maximum extent possible.

Eligibility
Open to patient partners from the Vancouver Island region who:
• Have access to technology that supports videoconferencing such as Zoom (if you do not have access but would like to participate, please RSVP and let us know)
• Are comfortable receiving short notice invitations (1 – 3 weeks before the interview date) to participate on a hiring panel? You will have the option to express your interest or decline the invitation.

  • Hiring panels strive to give as much notice as possible to Patient Partners. The nature of coordinating the schedules of candidates and senior leadership means that sometimes there is short notice between the request for participation and the actual date of the hiring panel.
  • Are able to engage fully with others in leadership positions; express thoughts and opinions, even if they represent a minority position on the panel; and ask questions when information is unclear.

  • The placement process for this opportunity may include an informal interview between the volunteer and the health care partner.
  • Applicants must have previously attended a PVN orientation session and completed the Volunteer Agreement. If you have not attended an orientation session but you are interested in this opportunity, please contact Ashley Clark directly to see if accommodations may be possible.

Logistics
You will be asked to be a member of a hiring panel group of about 20 Patient Partners. This group will first receive a virtual onboarding session to welcome you, answer questions, explain expectations of your role and explore key processes of hiring panels. You will then be invited throughout the year, via email, to participate on a number of different hiring panels. You will have the opportunity to decide whether to participate, based on your availability and interest. In the invitation to participate on a hiring panel, you will be provided with details such as the job posting, date and time of the interviews, as well as other members of the hiring panel, to help you decide whether you wish to express your interest.

When participating on a hiring panel, you will be part of a collaborative decision making process to determine the best candidate for each position. As part of the hiring panel team, you will be interviewing candidates competing for Executive level and Director/Medical Director positions.

  • Patient partners in the hiring panel pool will be called with 1-3 weeks notice of an interview date.
  • Please note: there may be occasional changes in the dates/times provided if candidates cancel, reschedule, etc.
  • Location: During the COVID-19 pandemic, all interviews will take place via videoconference (typically Zoom). This means you are able to participate from your home. Following the pandemic, interviews may take place by Zoom or in-person, and will be determined at a later date.
    • Commitment: Patient partners are asked to stay in the panel pool for a minimum of 1 year and a maximum of 3 years.
  • Each patient partner will be asked to participate anywhere between 2-10days per year.
  • Each panel process will take between a ½ to 2 days and will involve a commitment to:
    • Reviewing materials prior to the interview (resumes, job descriptions) (1-2 hours)
    • Attending a telephone support meeting between the patient partner and the hiring program point of contact (1 hour)
    • Attending a touch base meeting between panel members followed by panel interviews (1 day)
    • Providing feedback about the candidates and interview process (1 hour post interview meeting and online survey)
    • Please note: prior to participating on you first hiring panel, selected patient partners will be asked to attend a one-time, short training/onboarding session via Zoom and be provided with related support tools (date TBD in 2021).

Reimbursement
You can expect to be reimbursed from the hiring program for any related costs such as parking, meals, and mileage fees. It is not expected you will accumulate these costs when participating via videoconference/Zoom from your home.

Building a culture of Patient- and Family-Centred Care means working with patients and families, rather than just doing things to or for them. One of the tenets of Patient- and Family-Centred Care is that patients and families have a voice in the services and policies that affect their lives.

Island Health is committed to including patient partners in interview panels that are responsible for hiring senior leadership employees. Candidates interviewed will be competing for Executive level and Director/Medical Director positions. Collaborating with Island Health employees on hiring panels supports the hiring of leaders who are responsive to the needs, values, beliefs, and preferences of patients and their family members, and who understand the importance of Patient- and Family-Centred Care within Island Health. Other members of the hiring panel will include executive leadership, directors, and program leads. You will have the opportunity to meet and collaborate with leadership throughout the organization.
